Privacy Policy

Buzy Bay is a work-management platform for vehicle service departments. This policy explains what we collect on this website and in the application, why, and what we do with it.
Two kinds of information
Website visitors. When you browse buzybay.com we collect basic technical information (IP address, browser and device type, pages viewed) through our hosting provider's logs and through Google Analytics. We use it to understand traffic and to keep the site working. We do not use it to build advertising profiles.
Application users and customer data. When your employer subscribes to Buzy Bay, we host and process the information your team enters. Your employer decides what goes in and who may see it; we process it on their behalf and under their instructions.
What the application stores
- Your account: your email address and display name. Sign-in is passwordless: we email you a one-time code, so we never store a password for you.
- Work records: work orders, vehicle identifiers (VIN, fleet number, internal reference), reported complaints, part requests, comments, appointments, and end-of-month billing summaries.
- Your customers' contact details, where your team records them on a work order: company name, contact name, phone and email.
- Shop configuration: bay and shift setup, technician names, and the vacation, leave and holiday dates used to calculate available capacity.
- An audit trail: who changed what, and when. This is deliberate and central to the product: it is how a service department reconstructs the history of a job.
- Files you upload, such as an organisation logo (served publicly) and private attachments (served only through short-lived signed links).
How we use it
- To provide, operate and support the service.
- To send transactional email: sign-in codes and service notices. We do not send marketing email to application users.
- To investigate problems, prevent abuse, and keep the service secure.
- To understand which parts of the product get used, so we know what to improve. See Analytics below for what this involves.
- To build and improve features, which can include automated assistance learned from past records, such as suggesting complaints or estimating how long a job will take. This is to make the service better for the organisations using it. We do not sell your data and we do not use it for advertising.
Who we share it with
We do not sell personal information and we do not share it for advertising. We use a small number of providers to run the service:
- Amazon Web Services: hosting, database, file storage, authentication and outbound email.
- Google Analytics (GA4): usage measurement on this website and inside the application. See Analytics below.
We may also disclose information where the law requires it, or to protect our rights or someone's safety.
Where it is stored, and for how long
Data is hosted on Amazon Web Services infrastructure. Records for closed jobs are moved to an archive each month, and we keep customer data for as long as the account is active, or as agreed in writing with your employer. When an agreement ends we delete or return the data on request, subject to any retention the law requires of us.
Security
Traffic is encrypted in transit. Access to the application requires a one-time code sent to a work email address on a domain your employer has approved, and every user only sees the organisations they belong to. Changes are recorded in the audit trail. No system is perfectly secure, and we do not claim otherwise; if a breach affects your information we will notify the affected organisation without undue delay.
Your choices and rights
Depending on where you live, you may have the right to ask for access to your personal information, or to have it corrected or deleted.
For information held in the application, your employer controls the account, so the quickest route is to ask them; we support their requests. You can also write to us at contact@buzybay.com and we will help, or pass the request to the right organisation.
Analytics
We use Google Analytics (GA4) on this website and inside the application, to see which features are actually used and where people run into friction.
What is sent to Google:
- the page path you visited (for example
/workflow) and the page title; - the name of an action you took, with a short parameter describing it where that is useful, for example the status a part request moved to, or which organisation you switched into;
- the technical and approximate-location information Google collects by default, tied to its own cookie-based identifier for your browser.
What is not sent: your name, your email address, and the contents of your records. Work orders, vehicle and customer details, comments and attachments never leave our infrastructure for analytics purposes. We do not link analytics data to your account, and we do not use it for advertising.
Analytics is off until you agree to it. On your first visit we ask, and nothing is loaded from Google and no identifier is set unless you accept. If you decline, or simply ignore the request, no analytics data is collected at all. Your choice is remembered in your browser's local storage; clearing your site data will make us ask again. The site and the application work the same either way.
Changes
If we change this policy we will update the date at the top of this page, and for material changes we will notify subscribing organisations.
Applicable law
We are based in Québec, Canada, and we handle personal information in line with Québec's private-sector privacy legislation and the federal law that applies alongside it.
